Scope

This notice describes Portal-specific processing. It supplements our Privacy policy on monarch-dayz.com. Together they explain how Monarch ("we", "us") handles information when you use the Portal.

Information we process in the Portal

Account and Discord

• Discord user ID, display name, email (when provided by Discord), and avatar URL
• Optional profile choices such as avatar preset, custom avatar upload, and theme preference
• Optional authenticator secrets and backup-code hashes when you enable 2FA
• Notification preferences for chat and tickets

Workspace content

• Membership, roles, invites, and onboarding status
• Tickets, tasks, jobs, comments, chat messages, and file attachments you or your team submit
• Activity and notification records needed to run the product
• Workspace branding images and settings configured by admins

Billing

• Stripe customer and subscription identifiers linked to a workspace
• Plan or tier labels and renewal timestamps shown in the Portal
• Payment card details are collected by Stripe; we do not aim to store full card numbers

Technical data

• Session cookies used to keep you signed in
• Security and operational logs (for example failed access or abuse prevention)
• Theme preference stored in your browser and optionally on your account

How we use it

• Authenticate you and operate workspaces, chat, tickets, and related features
• Deliver retainer services and allow Monarch staff to support your projects
• Process billing status and subscription management via Stripe
• Send in-app notifications according to your preferences
• Secure the Portal (including optional 2FA) and improve reliability

Processors and integrations

Depending on features you use, data may be processed by:

• Discord (sign-in and workspace Discord integrations)
• Stripe (subscriptions and customer portal)
• Email providers (transactional mail such as invites, where configured)
• Hosting and database providers that run the Portal infrastructure

Sharing

Workspace members and authorised Monarch staff can see content in workspaces they can access. We do not sell your personal information. We may disclose information if required by law or to protect the security of the Portal and our users.

Retention

We keep account and workspace data while your account or workspace is active and as needed for service delivery, billing, and legal obligations. You can ask us to review deletion or export requests; some records may be retained where required for contracts or security.

Your choices

• Update profile, theme, avatar, and notification settings in Account
• Enable or disable 2FA in Account
• Sign out to end the current session
• Contact us via Discord or the channels listed on Legal info for privacy requests
